Good printing begins with good artwork. Learn the difference between vector and raster files, how resolution affects quality, why bleed and safe margins matter, and what your printer needs before production begins.
A file can look sharp on a phone or computer and still print poorly. The final result depends on file type, resolution, color setup, bleed, fonts, transparency and the actual finished size.
Artwork should match the finished dimensions or use a clearly documented scale.
Small web images and screenshots usually cannot be enlarged for quality printing.
Backgrounds that reach the edge must extend beyond the trim line.
Outline fonts or provide a properly prepared PDF so type does not change.

State the exact width and height. A file that measures 8.5 by 11 inches is not automatically correct for a 4 by 6 postcard, 24 by 18 yard sign or 10-foot banner.
Photographs and raster graphics must contain enough pixels at the final size. Enlarging a small image lowers the effective resolution and can create visible softness or pixelation.
Extend backgrounds past the trim edge and keep important text, logos and borders safely inside the cut line. This protects the design from normal production movement.
Screen colors use light and printing uses ink or toner. Bright RGB colors may shift when converted to CMYK, especially neon blues, greens, oranges and highly saturated colors.
If the original design file is supplied, include linked images and fonts or convert text to outlines. Missing files can cause substitutions and layout changes.
Check spelling, phone numbers, websites, addresses, dates, prices, QR codes and legal information. Approval means the customer accepts the visible content and layout.
Professional printing equipment can reproduce strong color, fine detail and crisp lettering, but it cannot repair every problem inside a customer-supplied file. A low-resolution logo remains low resolution. A missing font can change the layout. A background without bleed can leave an unwanted white edge. A screenshot of a business card is still only a screenshot.
Preparing artwork correctly protects quality, reduces production delays and helps the finished product match expectations. It also makes quoting more accurate because the printer can determine whether the file is ready or whether design and recreation work will be required.

Each product has different technical requirements, but the same principle applies: the file must be prepared for the final product, final size and final production method.
Vector files use points, lines and curves to create shapes. A vector logo can be enlarged from a business card to a storefront sign without losing sharpness. This makes vector artwork the preferred format for logos, icons, lettering, simple illustrations and cut graphics.
Raster files use a fixed grid of pixels. Digital photographs are raster images. Raster artwork can print beautifully when it contains enough pixels, but it cannot be enlarged indefinitely. As a raster image is stretched larger, the pixels become more visible and the image becomes softer or jagged.
A common misunderstanding is that saving a small JPEG as a PDF or EPS turns it into vector art. It does not. The original pixel image is simply placed inside a different container. True vector conversion requires recreating the shapes, lines and lettering as editable paths.
Resolution is commonly measured in pixels per inch, often written as PPI. Many people also use the term DPI when discussing print files. The important issue is effective resolution at the final printed size.
An image that is 300 PPI at 4 inches wide may drop to 150 PPI when enlarged to 8 inches wide. The number of pixels has not changed, but those pixels are being spread across a larger area. For close-viewed printing such as business cards, brochures, postcards and menus, higher resolution is usually needed. Large banners and signs may use lower effective resolution because they are viewed from farther away.
Do not judge resolution only by the number shown in a software dialog box. A file can be labeled 300 DPI while containing very few actual pixels. Changing the resolution number without adding real image detail does not improve quality.
Website graphics are designed to load quickly on a screen. They are often compressed, reduced in size and optimized for digital display. A logo copied from a website may be only a few hundred pixels wide, which may work online but fail when enlarged for a sign, banner or vehicle graphic.
Screenshots create the same problem. They capture only the pixels visible on the screen. Screenshots may also include compression, anti-aliasing, browser artifacts or unwanted background colors. Whenever possible, provide the original logo file, original photograph or original design document.
The artwork dimensions should match the intended product. A 3.5 by 2-inch business card, 4 by 6 postcard, 18 by 24 yard sign and 3 by 8-foot banner all require different layouts. Text size, image size, spacing and proportion should be planned for the real dimensions.
Very large signs and vehicle graphics may be designed at a reduced scale, such as 10 percent, because some software has size limits. When scaled artwork is used, the scale must be clearly identified, and resolution must be calculated for the final output size.
Do not stretch a finished design to a different proportion. Turning a square logo into a wide rectangle distorts circles, lettering and photographs. If a layout must fit a new shape, it should be redesigned rather than squeezed.
Bleed is extra artwork that extends beyond the final trim edge. It is used when a background color, photograph or graphic must print all the way to the edge. Because cutting has a normal production tolerance, the extra image prevents thin white edges from appearing after trimming.
For many small printed products, a common bleed amount is one eighth of an inch on each side, but requirements can vary. Large-format printing, specialty finishing and custom shapes may require different amounts. Always follow the specifications for the product being ordered.
Bleed does not mean placing a white border around the design. The actual background image or color must extend beyond the finished size. The trim line remains the final edge of the product.
A safe margin is the space between important content and the trim line. Phone numbers, addresses, logos, faces, borders and important text should not sit too close to the edge. Even when the file includes bleed, critical content must remain inside the safe area.
Thin borders near the edge can show small differences after cutting, even when the job is produced within tolerance. Wider borders or borderless designs are often more forgiving.
Computer monitors and phones display RGB color using red, green and blue light. Most full-color printing uses CMYK inks or toners: cyan, magenta, yellow and black. RGB can display colors that standard CMYK printing cannot reproduce exactly.
When RGB artwork is converted for print, highly saturated colors may become less intense. Bright neon colors, electric blues, vivid greens and glowing screen effects are common examples. This does not always mean the printer made a mistake; it can be a limitation of the printing process and color gamut.
Brand colors that must remain consistent should be defined carefully. Pantone colors may be used in certain printing processes, but they are not automatically available on every digital printer or large-format device. Ask about color expectations before production begins.
Small black text is often best produced using black ink alone. Large black backgrounds may look deeper when built as a rich black using a controlled mixture of CMYK colors. The correct setup depends on the equipment and product.
Using four-color black for very small text can create registration problems because multiple colors must align perfectly. Avoid creating your own extreme ink combinations without checking the printer's recommendations.
If a printer opens an editable file without the original fonts, the software may substitute another typeface. This can change line breaks, spacing, size and the overall appearance. Converting fonts to outlines turns the letters into vector shapes and prevents substitution.
Keep an editable copy with live text before outlining. Once text is converted to shapes, correcting spelling or changing wording becomes more difficult. Another option is exporting a properly prepared PDF with fonts embedded.
Programs such as Adobe Illustrator and InDesign can link to images stored outside the main document. Sending only the design file may leave those photographs or graphics missing. Package the project so linked images and fonts are included, or embed the images before sending.
Open the final file on another computer when possible. If everything appears correctly without access to your original folders, the package is more likely to be complete.
Modern design programs support transparency, blending modes, shadows, glows and complex effects. These can print correctly when exported properly, but certain combinations may flatten unexpectedly or create visible boxes and color changes.
Review the final PDF at high zoom and ask for a proof when the artwork contains complex effects. Do not assume that a design displaying correctly in one program will process identically in every workflow.
Stickers, decals, labels and certain vehicle graphics may be printed and cut to a custom shape. These jobs require a clean vector cut path. The cut line should be a closed path, placed on the correct layer and identified according to the printer's workflow.
Photographs alone cannot create an accurate contour cut. The shape must be defined. Extremely detailed edges, tiny points and complicated interior cuts may need simplification so the finished piece can be cut and installed reliably.
Vehicle graphics require accurate templates, measurements and panel planning. Important information should not cross door handles, body gaps, windows, wheel wells or extreme curves without careful review.
Logos and lettering should be vector whenever possible. Photographs must have enough resolution at vehicle size. The design also needs proper bleed beyond panel edges so installers have enough material to position and trim the graphics.

Signs and banners are viewed from a distance, so readability matters as much as resolution. Use large lettering, strong contrast and a short message. A file may be technically high resolution but still fail because the text is too small or the design is too crowded.

Small printed pieces are viewed closely, so details must be sharp. Include bleed, keep text inside safe margins and proof every number. Multi-page documents should be supplied in the correct page order, not as printer spreads unless specifically requested.

Screen printing, embroidery, direct-to-film transfers and heat-applied graphics each have different requirements. Very thin lines, tiny text, gradients and photographic detail may need adjustment depending on the decoration method.
Embroidery converts artwork into stitches, so small details and fine lettering may not reproduce exactly as they appear on a screen. Vector artwork is usually the strongest starting point for apparel logos and spot-color designs.
The printer should review technical production issues, but the customer is responsible for approving the content. Check spelling, grammar, names, dates, prices, phone numbers, website addresses, email addresses, QR code destinations and legal requirements.
Read the proof slowly. Compare names and numbers to a trusted source instead of relying on memory. Have another person review it when possible. After approval, corrections may require reprinting at additional cost.
If your file is not print-ready, that does not mean the project cannot be produced. It may require graphic design, logo recreation, image replacement or layout correction.
